Production coordinators struggled with an overwhelming offer management interface featuring 12+ data columns, 7 status states, and no clear task prioritization — making it difficult to track hundreds of crew offers across multiple entertainment projects.

I redesigned the onboarding experience for hiring managers with a streamlined dashboard featuring smart status groupings, visual hierarchy that surfaces urgent actions, and a simplified data table that prioritizes the information coordinators actually need to do their jobs efficiently.

Four pages collapsed into one view

Manage Offers, I-9 Verify, Approvals, and Hired each had their own page in the legacy product. The redesigned experience folds them into a single unified list — with inline modals and expandable rows so coordinators stay in flow.

Research Findings

What 8 coordinators told us

Moderated sessions with production coordinators across multiple entertainment studios surfaced a consistent pattern: the existing UI was technically complete, but operationally exhausting. Four themes shaped the redesign.

Information Overload

12+ data columns and 7 status states ran across a single dense table — coordinators spent more time scanning than acting.

Hidden Urgency

Nothing in the legacy layout surfaced what needed attention first. Time-sensitive offers were buried alongside completed ones.

Fragmented Workflows

Manage Offers, I-9 Verify, Approvals, and Hired lived as four separate pages — forcing context-switching for what was conceptually one job.

Status Ambiguity

Coordinators couldn't tell where an offer sat in the lifecycle without clicking into the record. Tracking hundreds of offers became guesswork.

From discovery to validated prototype

    Map the real job

    Stakeholder interviews and walkthroughs with hiring managers across production studios. Documented the legacy four-page flow and the workarounds coordinators built around it.

    Tear down the legacy UI

    Heuristic review of the existing tables: 12+ columns, 7 statuses, no prioritization. Mapped each column and status to the decisions coordinators actually had to make.

  3. 03 · Consolidation
    Four pages → one view

    Collapsed Manage Offers, I-9 Verify, Approvals, and Hired into a single unified list. Promoted secondary flows to inline modals and expandable rows so coordinators never lose context.

  4. 04 · Validation
    Tested with 8 coordinators

    Moderated usability sessions on the Lovable prototype. 100% approval; every participant completed the consolidated workflow without intervention.

What changed in the redesign

Smart Status Groupings

Reduced 7 raw statuses to grouped lifecycle stages that match how coordinators actually think about an offer.

Inline I-9 Verify Modal

Eliminated the standalone I-9 page. Verification happens in-context, right from the offer row.

Approve Offer Confirmation

Replaced the heavy bulk Approvals page with a focused confirmation modal that prevents accidental approvals.

Expandable Row with Timeline

Every row expands to reveal the offer's full status timeline — no detail page round-trip required.

Prioritized Data Table

Cut to the columns coordinators actually use. Everything else is one click away, not in the way.

Surfaced Urgency

Visual hierarchy and action affordances pull time-sensitive offers to the top of the list.

Outcome

100% approval from every coordinator in the study.

Every one of the 8 research participants completed the consolidated workflow without intervention and described the redesigned experience as significantly easier to navigate than the legacy product. The prototype is now informing the next phase of the production engineering build.
